This document explains the setup of the "From" address on your Madgex Job Board. The "From" email address is used by the Madgex mail servers to send all emails from your Job Board (i.e. your Jobseeker, Recruiter / Employer Services, or Admin sites). This includes business-critical emails such as Job Alerts (JBEs) and account activation emails.


The "From" address is different from the "Reply-To" address, which recipients can use to reply to any emails they receive. The "Reply-To" address can be updated for a Job Board via the Admin site.

Following the guidelines below will significantly reduce the likelihood of emails being blocked or delayed by Email Service Providers (ESP). This is especially important if you are using a new domain or sub-domain.


Please note that the exact configuration of your "From" email domain is open for discussion with Madgex at any point. Madgex will also confirm with you all of the relevant details (eg. your DKIM CNAME) at the appropriate point in your project build or upgrade.

Guidelines

MX Record

You must have a valid Mail Exchanger (MX) record for your "From" email domain.

Madgex would recommend creating a unique email domain or sub-domain (see below).  If you do this, you should use the Madgex mail server "mta20.madgexjb.com" for the MX Record.

Benefits:

  1. As with all the guidelines in this document, this will significantly reduce the likelihood of emails being blocked or delayed by Email Service Providers (ESP).
  2. If you use the Madgex mail server, Madgex will be able to process all bounce backs, which will prevent blacklisting.
  3. If you use the Madgex mail server, Madgex will be able to set up additional feedback loops with major ESPs like Yahoo and Google, which will prevent blacklisting.

SPF Record

You must have a Sender Policy Framework (SPF) Record for your "From" email domain, and this must include the text "include:madgexjb.com".  Please note that any sub-domains have an independent SPF record from the parent / top-level domain.

Example:

  1. Current SPF Record for "From" email domain:  v=spf1 include:spf.protection.outlook.com -all
  2. Recommended SPF Record for "From" email domain:  v=spf1 include:spf.protection.outlook.com include:madgexjb.com -all

DKIM Record

You must have a Domain Keys Identified Mail (DKIM) Record for your "From" email domain.

Madgex will supply you with the unique CNAME for DKIM.  This will take the form of the domain name "madgex._domainkey.[your "From" email domain]" and value "[Madgex Job Board reference]-dkim.madgexhosting.net".

Example:

  • "From" email domain:  jobmail.company.com
  • CNAME domain name: madgex._domainkey.jobmail.company.com
  • CNAME value: jobboardref-dkim.madgexhosting.net

Unique Email Domain or Sub-domain

You must not use the same sub-domain for the "From" email domain as you use for any of the sites hosted by Madgex (eg. the Jobseeker site). For example, if the Jobseeker site uses the "jobs.company.com" sub-domain, you cannot use "@jobs.company.com" as the "From" email domain.

In addition, Madgex strongly recommends that the "From" email domain is not used for any other emails (eg. marketing emails or regular business emails).

Benefits of using a unique email domain:

  1. As with all the guidelines in this document, this will significantly reduce the likelihood of emails being blocked or delayed by Email Service Providers (ESP).
  2. Prevents the reputation of the unique email domain affecting that of your other email domain (and vice versa).
  3. Allows the setup of SPF and DKIM Records without affecting the email delivery of your other email domain.
  4. If you already use SPF for your other email domain, it avoids the risk of invalidating the record.

Examples

  1. Jobseeker site URL:  jobs.company.com
  2. Email domain used for marketing / regular business emails:  @company.com
  3. Recommended "From" email domain:  @jobmail.company.com (a sub-domain) or @companyjobmail.com (a completely different domain)
  4. Recommended "From" email address:  noreply@jobmail.company.com or noreply@companyjobmail.com

FAQs

Do Madgex monitor incoming emails for abuse@ and postmaster@?

If the MX Record is set to the Madgex mail servers, these emails will be monitored.

What should the "Reply to" email address be set to?

If all of the guidelines above are followed, the "Reply to" address should be set to an email address belonging to a separate email domain than the "From" email address.  For example, if the "From" email address is "noreply@jobmail.company.com", then the "Reply to" could be set to "jobs@company.com" in the CMS.

Are unsubscribe actions handled by the Madgex mail server?

Subscriptions are handled by the Job Board application, not the mail server.  Users must click on a link in the email to unsubscribe. If the MX Record is set to the Madgex mail servers, Madgex will handle any remote bounce and feedback loop emails that are generated by ESPs (eg. if the email address no longer exists). Where appropriate, the Job Board will then stop sending to the related email addresses.

Do I need to set up a mailbox / account for the "From" email domain?

No. If you want to use the "From" email domain to receive emails, Madgex will set up a forwarder for this purpose.  This will forward the emails to an address under another email domain. Please contact Madgex if you would like to do this.
